Digital site-documentation and quoting workflow for a construction company
A demonstration of how a construction company can turn site photos and paper checklists into a shared digital record and faster, more consistent quotes.
This is a demonstration project built by NEXOVIA to show what the solution looks like in practice — not a client project.
Starting situation
A regional construction and facility-services company with several site teams still records daily progress, defects, and material use on paper checklists and in group-chat photos. Quotes for follow-up work are written from memory days after the site visit.
Challenge
Site information reaches the office late and incomplete, so quotes are often optimistic and get revised after work starts. Nobody has a reliable, shared record of what was actually done on site and when.
Analysis
Construction remains one of the least digitized major industries: McKinsey Global Institute research found labor productivity in construction grew only about 1% a year over two decades, versus 2.8% for the economy as a whole, and estimates that digital tools alone can lift productivity by 14–15%. (Source: McKinsey, “Reinventing construction: A route to higher productivity”, 2017 — mckinsey.com) The gap in this business was not effort, it was that site information never reached the office in a structured, timely form.
Solution
A simple mobile form replaces the paper checklist: site staff log progress, defects, and material use with photos directly from the site, structured by project and task. The office sees this in real time instead of days later.
Implementation
A mobile-friendly capture form feeds a shared project record. Each entry is timestamped, tagged to a project phase, and attached to photos. A lightweight report generator turns the accumulated entries into a quote-ready summary for follow-up work.
Business benefit
Quotes for follow-up work are written from an accurate, dated record instead of memory, which reduces revisions and disputes. Site managers get a live view of progress across projects without chasing anyone for an update.
Result
In this demonstration setup, a full day of site activity is captured structured and searchable within minutes of being logged, instead of arriving as a stack of photos days later. The office team spends its time reviewing exceptions, not reconstructing what happened on site.
